Have you made IT work for your business? Is IT a burden or an effective catalyst for you?

It is an established fact that IT – Information Technology – has pervaded all types of organizations, from small startups to global multi-nationals working in wide spectrum of domains. The usage of IT spans from the use of a desktop or laptop computer to generate a simple letter using word to integrated enterprise applications that are used by teams across the globe to achieve a common objective for a multi-national global organization. Various pieces of the IT jigsaw, in an organization, include computing devices ranging from smart phones to high end servers, internal (LAN) and external (WAN) networks, enterprise applications (such as ERP, CRM etc.) to customized mobile apps, organization’s website, security elements, storage devices and so on.

However, despite using such a varied gamut of IT devices and tools and after having invested in a big way for buying and maintaining them and retaining expert people who manage the IT, the question remains:“Have you made IT work for your business? Is IT a burden or is IT working as an effective catalyst for your business?”

A recent survey by McKinsey consulting at a global level indicated that IT – Information Technology – is now recognized not only for the potential of cutting costs, but also for its strategic value for the business to enhance productivity, efficiency and product / service innovations. It showed that after the slump of few years, organizations have started increasing the IT budgets. However, very significantly, it also showed that there is a growing dissatisfaction about the effectiveness of IT, its capability to facilitate business, create new products and services and enter new markets. In order to remove the shortcomings in IT Performance, the organizations identify followingpossible areas which need be addressed and improved:

  • Level of talent and capabilities of IT staff,
  • Accountability of IT related projects,
  • Governance of IT initiatives and even the
  • Level of IT management and leadership

Where does your organization stand with respect to the above? If you are also not fully satisfied with the effectiveness of IT for your business, which of the above areas are relevant to you? Which other areas need improvement for your business? Do you make periodic objective assessments of this?

Making IT effective has several aspects such as understanding of technology, planning, setting right processes and discipline in place, doing periodic objective evaluation and re-assessments, monitoring and tracking etc.

But each of these aspects is complex and has multiple sub-areas to be considered. E.g. having necessary and sufficient understanding of IT is like shooting a rapidly moving target, which has not one but several heads such as OS platforms (Windows, Linux), Databases, Networking, Web technologies, Security, mobile technologies, cloud computing, business applications and so on. So, planning needs to be on all these fronts and one needs to do strategic as well as tactical planning and decide what you will do yourself and what you will outsource. ‘Doing-it-yourself’ approach may appear to be cheaper in short term, but may turn out to be very costly in the long run, if it makes you lose focus on your core business and puts your competitors ahead of you.

Choosing right processes can involve decision about where you will use standards and where you will use a compact set of your own processes which work for your business. Not having such explicitly defined processes and discipline can lead to mushrooming of IT and murphy’s law coming into play at most critical times and causing disasters.

So, whether you should use IT or not, is not a choice at all, because you will fall behind and lose out to your competitors rapidly, if you don’t use IT. At the same time, not getting IT right can bog your business down and make IT a burden rather than a catalyst.
